ACCOUNTING ASSISTANT       CUSTOMER SUPPORT SPECIALIST  PRODUCTION LEAD

ACCOUNTING ASSISTANT

Responsibilities:

• Generate invoices and credit memos on a daily basis. Review sales orders for errors related to missing item fulfillments, missing or incorrect shipping charges, etc.
• Mail, email or submit to the appropriate location.
• Assist in receivables review and collection as directed by supervisor.
• Maintain records of customer A/P contacts in ERP system. Review bounced emails and correct as they occur.
• Review open shipments and orders on a daily basis. Work with shipping and sales to ensure all orders are fulfilled and invoiced in a timely manner.
• Work with supervisor to research and submit returns/shortages/MCB deduction disputes. Maintain a record of these transactions.
• Enter new and outstanding payables on a daily basis. Work with purchasing when discrepancies between PO's and invoices arise.
• Try to identify/resolve before handing off to purchasing.
• Enter installment bills and rent monthly.
• Independent contractor invoices should be entered prior to payroll dates (15th and the last day of the month).
• Ensure vendor accounts are set up correctly.
• Remit-to address, terms and W-9/Tax IDs.
• Submit non-PO invoices to purchasers for approval in a timely manner and follow up as needed.
• Track use purchases that have not been taxed on the invoice, but are subject to California use tax on quarterly returns.
• Review vendor statements and request copies of any missing invoices.
• Match remittance stubs to invoices paid on a weekly basis, file and put checks into envelopes
• File sales order and shipping documentation.
• Help to maintain customer and vendor files of applications, contracts, and other important documentation on the server and in the ERP system.
• Assist with projects as directed by supervisors.
• Look for opportunities to stream-line processes.
• Convert paper documents to paperless wherever possible.
• Review vendor and customer documentation and tax status. Collect missing documents and correct tax status where needed.
• Improve AP-entry process to expedite month-end close.

Requirements:

• Associates or Bachelors degree in accounting or closely related field.
• Two years accounting-related experience.
• Experience maintaining accounting and bookkeeping records.
• History of both A/P and A/R work.
• Experience in a manufacturing environment is strongly preferred.
• Proficiency typing and with computers. Experienced and knowledgeable Microsoft Outlook, Excel and Word user. Strong data-entry/10-key skills.
• Knowledge and familiarity with NetSuite or similar ERP systems.

CUSTOMER SUPPORT SPECIALIST

Responsibilities:

• Accurately process online and phone sales orders.
• First, friendly contact to phone customers and visitors.
• Maintain & update various databases.
• Maintain sales samples, packets, collateral & files.

• Responsible for office supplies & machines.

Requirements:

PRODUCTION LEAD

Responsibilities:

• Training of staff on equipment, SOPs, safety and processes.
• Measuring performance of equipment and employees, identifying & eliminating waste.
• Ensure production is performed with the highest quality.
• Updating Run Rate Boards, manage the kitting of components for manufacturing runs.
• Set Up & Break Down of kitting activities.
• Assist the Production Supervisor in launching and enforcing CGMP/OTC practices.
• Coverage for Production Supervisor as needed.
• Will carry out ERP transactions related to inventory location look-up, inventory location movements, and job closures.
• In conjunction with Shipping Department, coordinate the movement of FG from production area to QC Hold locations in the warehouse.
• In conjunction with Compounding Department, coordinate the movement of finished bulk from compounding to production floor locations.
• Fill in on assembly line as needed, use filler and fill at a rate of a minimum of 80% of the product capacity.
• Cap bottles, checking product for quality.  Packaging and taping cases creating a professional looking case.
• Fill salt bags, and seal salt bags resulting in a correct fill weight.
• Label tubes ensuring labels are evenly applied and are straight.
• Use coder machine, and check to make sure code is legible.
• Follow good manufacturing processes, and all standard operating procedures.
• Perform regular quality inspections in all steps of production, and in the production lines to maintain overall product quality, and to minimize rejects.
• Maintain and clean equipment appropriately.  Care must be taken to ensure foreign organisms are not introduced to finished products.   Dispose of empty boxes or trash.
• Must report to your supervisor any unsafe or hazardous condition.
• Personal protective equipment (gloves, masks or goggles) must be worn for certain products as mandated by the Material Safety Data Sheet (such as powders or essential oils).
• Must lift carefully using legs, and more than 50 pounds should be assisted by another employee.
• Spills must be cleaned up immediately.
• Perform other reasonable tasks and projects as directed by manager.

Requirements:

• Bi-lingual in Spanish, conversational in English.
• Must be available from 1:30 pm – 10 pm (M-F).
• Great with people/customer service skills - supervision experience a plus but not required.
• Experience in manufacturing environment a plus.
• Takes initiative with bringing equipment problems or needs, safety concerns, supply needs to manager’s attention.

WEST COAST REGIONAL SALES MANAGER

The Western RSM is responsible for the development and performance of all sales activities in the Western Region in the Natural/Health Food channel.  Under supervision of the Vice President of Sales, the RSM oversees our brokers and provides leadership towards the achievement of maximum profitability and growth in line with the company vision and values.  If you are a team player, and possess “A-Level” talent and interested in taking ownership of your job responsibilities as noted below, EO might be the right career choice for you

Key areas of responsibility:

• Contributes to sales strategy and ensures attainment of company sales goals and  profitability in the Western Region
• Travel as necessary for field visits with Brokers and to assess trends, identify opportunities, and increase brand awareness and presence in natural health foods channel.
• Conducts monthly  one-on-one review with all Western Regional Brokers to build effective communications, understand training and development needs, and provide insight for the     improvement of Brokers’ and direct reps sales activity and performance.
• Broadens distribution into all natural retailers
• Develop and use objective tools, information (i.e. SPINS, WF Portal) to plan effective and appropriate account activity
• Assist Brokers in preparation of proposals/presentations.
• Provides timely feedback on performance and other initiative updates
• Coordinate business activities so they are fully aligned with company activities and objectives
• Controls expenses to meet company guidelines

Desired Skills and Experience:

• MUST HAVE  3+ yrs of significant Regional Manager sales leadership experience in the Whole Body and/or Natural Living departments of the natural channel
• MUST be able to multi-task in a fast paced growth company
• Analytical skills to see voids and opportunities to effectively support company growth objectives  with all retailers
• Outstanding motivational and coaching skills; a team builder and leader.

MAINTENANCE TECH

Responsibilities include:

• Troubleshoot and fix equipment, to eliminate downtime and maintain safety.
• Training on new equipment for production and sanitation departments.
• Ongoing training on equipment set up and safety.
• Order parts and coordinate repairs in a timely manner.
• Be able to communicate with outside tech departments, like Grainger & McMaster Carr.
• Follow & ensure compliance on all Safety procedures including chemical & material handling, Material Safety Data Sheet instructions, Code of Safe Practices, LOTO, and all safety programs.
• Ensure equipment is in safe working order.
• Schedule & ensure ongoing preventative maintenance programs, logs, and inspections.
• Help maintain parts inventory and an organized manuals database.
• Help keep maintenance department clean and organized.
• Be conscious of and follow all quality control/quality assurance procedures.
• Work with lab and production personnel as required & necessary.

Requirements:

• Technical Degree or related experience plus 2 years experience
• Available to work afternoon shift 1:30PM-10PM
• Proven experience in the application of Good Manufacturing Practices & OSHA standards
• An independent, organized self-starter & team player who can assess needs and deliver results
• Amazing attention to detail
• Forklift experience preferred
• Spanish language skills a plus

SANITATION SPECIALIST

Responsibilities:

• Follow Sanitation SOP’s using good manufacturing practices and aseptic techniques
• Wash and sanitize the equipment for compounding
• Wash walls and windows on a scheduled basis
• Help maintain the cleanliness of the outside perimeter of the building
• Take out trash and recycle as needed throughout the day
• Breakdown and recycle cardboard and other vessels
• Sweep area daily
• Communicate with Supervisor any equipment needs for improving sanitation of the plant

Requirements:

• Knowledge of good manufacturing practices
• Understanding of quality standards for aseptic environment
• Ability to lift 50 lbs. using correct technique using legs
• Communication skills necessary to work in team environment
• Experience with use of  protective safety equipment
